Description

Reporting to the Associate Director of Development Events with moderate supervision and some latitude for independent judgment, the Manager of Development Events will coordinate fundraising and donor cultivation events for Pratt's Institutional Advancement division, including fundraising outreach, logistical management, and administrative duties.

Examples of Duties


  • Plan and execute logistical details for on and off-campus fundraising, cultivation, and stewardship events including galas and benefits, dinners, cocktail receptions, luncheons, lectures, and commencement.
  • Manage vendor relationships and logistics for venues, caterers, AV and lighting, decor, transportation, photographers, and other vendors including drafting and sending requests for proposals, reviewing proposal and negotiating terms, submitting contracts, coordinating payments, and on-site management at events.
  • Outreach and administrative duties include preparing copy for print materials and electronic outreach, managing calendar updates regarding events, preparing and executing event mailings, follow-up, and communication with donors and patrons of events.
  • Work closely with other Institutional Advancement departments, including major gifts, donor relations, alumni engagement, corporate and foundation relations, prospect research, and operations.
  • Liaise with trustees, honorees, and special event donors and guests during the planning process and at events.
  • Manage relations and communications with Pratt faculty, staff, and departments for IA events. (e.g., Deans, Chairs, Communications and Marketing, Finance and Administration, Facilities, Campus Safety, etc.).
  • Utilize Raiser's Edge to input donor information, create queries, pull lists and reports, and track various event tasks such as participant registration and seating arrangements.
  • Track event expenses and income using Raiser's Edge and Google Sheets.
  • Schedule and manage staff and volunteer duties at events.
  • Manage and build Asana project timelines.
  • Prepare event-related materials including meeting agendas and briefing materials.
  • On-campus gathering of materials in advance of events and on-site management at events. Some evenings and weekends are required leading up to and on event days.
  • Ability to be in office as needed and with limited notice for event-related tasks.
  • Perform all other related duties as assigned.


Qualifications

Education: Bachelor's degree required

Experience:

  • At least 3-4 years of related experience in not-for-profit or higher education events fundraising.

Skills:
  • Must have above-average computer skills including database, Microsoft Word and Excel, and Google Suite.
  • Raiser's Edge or other CRM database experience required.
  • Experience with project management software, preferably Asana.
  • Strong organizational, interpersonal, and verbal and written communications skills required.
  • Must be a self-starter with the ability to produce under deadline pressure with attention to detail.
  • Must possess strong confidence in applying quick, smart, independent judgment, decision making, and problem-solving when necessary.
  • Demonstrated ability to work effectively both independently and as a team member.
  • Ability to work with a diverse population and demonstrate cultural sensitivity.
